Naturally, an FAQ file cannot cover all issues that may arise. If you require further support, please let us know what we can do for you. You will find our contact information under “Contact Us” on the homepage.
Our free basic package allows you to present your company, which means that you can be found by sourcing teams. Use your profile to share information about your company and your products. Read more under “How do I set up an attractive supplier profile?”
Under your account overview which you can access from your profile, go to “Valeroo Sales Plus”. Another link to Valeroo Sales Plus can be found in the header of any page. Click on the link and enter your preferred payment method; as soon as your payment has been received, you can use Valeroo Sales Plus and all its great features. Your previous entries are not lost but are transferred to your new profile. Before upgrading, please take note of our General Terms and Conditions of Use.
Your profile shows your address as well as information about your industry and your products (product group, category, product, material) as entered by you upon registration. These entries are important for our search engine. The more information you enter, the more sourcing teams will find you. At the top of the page, you can also upload a banner and your company logo to make your profile unique and recognizable at first sight. To do so, simply click on the empty fields and select the file you want to upload.
Valeroo offers extensive options when it comes to presenting your products to potential customers. Below the general information in your profile, you can show your products. To do so, click “Add New Product”. A new window opens in which you can name and describe a product and add an image. You can delete or edit a published product at any time and present as many products in your profile as you wish. In addition, you can add product presentations and videos. To access this functionality, please scroll down to Company Presentations.
Valeroo allows you to present your company and services descriptively by adding presentations, references and videos. This type of content makes your profile more interesting and memorable, and attracts longer page views from sourcing. On top of that, the additional information gives buyers a convenient and comprehensive impression of your company, its values and its skills. The better you present your company, the greater the chance that buyers include you in a tender.
Below the product section of your profile, you can upload up to three presentations. Name them in the left section of the window and then select the respective file to be added by clicking “Upload”. Presentations may not only refer to your company but naturally also to your products or services.
References can be published at the bottom of the page. To do so, click “Add new reference” and enter the key data, such as name of the company, project information or contact details. Please make sure not to share any confidential information or copyrighted content without having obtained the prior consent of your business partners.
You can include up to three videos in your profile. To do so, click “Add Video”. A new window opens in which you can name the video and enter the URL. Please note that you can only share videos that have previously been uploaded to either Vimeo or YouTube, which require separate registrations independent of your Valeroo access. Valeroo only links to videos and does not accept direct uploads.
The field “Buyer Search” offers two general search options: The advanced search helps you find suitable buyers by defining your product group, for instance “Synthetics”. Directly after you have made your entry, a list of suitable buyer contacts is displayed. The more specifically you limit your search, e.g. by category, material or industry, the better the selection of buyer contacts displayed. Naturally, you can also work with a rough selection and keep the circle of buyer contacts to target wider.
Alternatively, you can filter your search results by region or search for specific names.
In the Buyer Profile on the bottom right you will find the button “Bookmark buyer”. Here you can tag buyer contacts for later reference. Their profile is always available to you under “Bookmarked Buyers”. You can also add a potential buyer as a direct contact by sending a contact request. To do so, click “Add As Contact”. After you have been added, the contact is listed under “My Business Contacts” and you are now free to contact the respective person directly.
Valeroo’s priorities are simplification and target orientation. This is why all projects for which sourcing teams have sent you an RFQ are listed on your homepage under “My Supplier Business Portal”. For each sourcing project that you have been invited to tender, you can submit an offer. If applicable, you will have to sign a confidentiality agreement before being able to access the required drawings.
After opening the RFQ, you can place an offer by clicking “Send Offer” and provide the details required for the project to the respective sourcing team. Sourcing teams may also contact you directly. This functionality allows buyers to get in touch with a specific supplier besides the open projects.
On the Supplier Business Portal, you can see all information on current RFQs under “Requests for Information”. In the menu on the left, you can find any correspondence relating to offers under “Project Communication”. All current projects as well as submitted offers can be viewed and administered under the menu item “My Customer Projects”.
Yes, potentially buyers may request further product information from you. Such inquiries are shown on the Supplier Business Portal under “Requests for Information”. An overview can be found in the menu under “Request for Information (RFI)”.
You can communicate directly with buyer contacts you have saved as business contacts via your messenger function. If you want to exchange details concerning a current project, you can communicate with buyer contacts via the menu item “Project Communication”. These messages are directly linked to the offer.
Your Supplier Business Portal lists basic key parameters reflecting your activities, such as data on current projects or your network. Shown on top is a list of newly registered sourcing accounts who may be potential buyers of your products. Here, you can also see a list of visitors to your profile over the past six months as well as all names of people who have sent you a contact request. Your total number of contacts is listed here as well.
By clicking the “Profile Visitors” statistics or “Profile Views” in the menu, you can find a detailed list of all visitors to your profile, including their industries and product groups. A pie chart sorts your visitors by category. The categorization in first-time and repeat visitors gives you a good idea about which decision-makers in sourcing are interested in your products and innovations.
Yes, detailed analyses are a Valeroo core function. Complementing the general statistics, you can find more detailed statistics under the menu item “Analytics” which includes data on all activities, from visitors to new contacts, or current projects and inquiries. Here, you can also modify the display periods of all statistics – from one week to the past twelve months. Use the findings from these reports to evaluate the effects of your activities on the Valeroo platform and to identify improvement potential for offers and profile information.
Yes, the supplier profile can be used and administered by more than one person. You can add additional users under “User Management”. All users require their own email address. You can assign usage rights to define the access and edit rights each user should have.
You can add as many users as you like. Define for each additional user whether they have access to individual areas. To do so, tick the respective area and select on the right side if the user should be assigned “Read” rights (view the area, offers and messages) or “Write” rights (edit and add information, respond to offers, add contacts, write messages, etc.). An administrator must be assigned to each profile. As a default, the administrator is the person under whose email address the profile was generated. If you want to change the administrator for your profile, please contact our customer service via the contact form.
The field “Supplier Search” offers two general search options: The advanced search helps you find suitable providers by defining your product group, for instance “Synthetics”. Directly after you have made your entry, a list of suitable suppliers is displayed. The more specifically you limit your search, e.g. by category, material or industry, the better the selection of buyer contacts displayed. Naturally, you can also work with a rough selection and keep the circle of buyer contacts to target wider.
Alternatively, you can filter your search results by region or search for specific names. You can limit your selection further by filtering by quality management systems to make sure that potential suppliers meet your quality standards.
Under “Bookmark Supplier”, you can tag sourcing contacts for later reference. Their profile is always available to you under “Bookmarked Suppliers”. You can also add a supplier as a contact by sending a contact request. To do so, click “Add As Contact”. After you have been added, the contact is listed under “My Business Contacts” and you are now free to send the respective person personal messages. The “Request for Information (RFI)” button allows you to ask the supplier for further information about the company and products.
Only very few steps are required to set up a sourcing project. Under the menu item “My Sourcing Projects”, go to “New Project”. Make sure to give the project, i.e. the desired component or material, a descriptive name so that suppliers can see at a glance what type of product you are talking about. Add a project description in the free-text box to give suppliers all the required information regarding the components, their required quality and ultimate use.
Please assign to each project a Project Identification Number (ID) as well as a Part Number (Part ID) - both determined by you. You can easily search for your project based on these two numbers and connect it to existing data sets in your own systems. Mandatory fields include currency as well as the allocation of your project to a specific product group and category.
If you want to add further details to your project, you can define an additional sub-category and request a material. On top of that, you can enter your industry to give suppliers a clear idea of the intended purpose of the components inquired. The setup of a sourcing project follows the same logic as the setup of your buyer profile. For processing purposes, always enter a start date and deadline for the submission of offers.
First off, provide a drawing as the basis of all offers. The drawing is a mandatory field for setting up the project. Additionally, you can add a feasibility study (optional) as well as a confidentiality agreement to safeguard confidential data and your expertise. In this case, suppliers cannot access your data before signing and returning the confidentiality agreement to you.
All files are uploaded directly in the input form when creating the project. Use Search to select a file you want to upload from your hard disk and confirm your selection by clicking “Upload”. The files are now linked to the project and are thus not available for other projects. If you want to provide them for other projects too, you will have to upload them again individually. The files are only visible to the inquired suppliers and not to any other company.
Yes, you can save a project as a draft and continue to work on it later. It will be saved under the menu item “In Preparation”. To save a project draft, you don’t have to fill in all mandatory fields first. You can also prepare projects and add drawings later or run another supplier search first.
After entering and uploading all the required data, you can switch the project status to active. When you do so, the next page shows you a list of suppliers from which you can choose who to contact with this RFQ. Open inquiries without a mailing list of direct contacts are not possible. You can select suitable suppliers either from your existing network or identify them via an advanced search.
You can also decide whether the drawings should be accessible immediately to all suppliers or only after receipt of the signed confidentiality agreement. You can even decide to make the drawings available only after receipt of all signed confidentiality agreements to ensure equal opportunities and an identical timeframe for all suppliers. The selected suppliers are automatically notified about your project as soon as you have published it.
You can always find your projects under “My Sourcing Projects”. Project drafts are stored under “In Preparation”, active projects under “In Progress”, and completed projects under “Completed”.
You can change your current projects at any time via the “Edit” button and, for instance, modify a description, upload a revised drawing or extend a deadline. Furthermore, you can also include further suppliers in the project and ask them directly for offers.
You can communicate directly with suppliers you have saved as business contacts via your messenger function. If you want to exchange details concerning a current project, you can communicate via the menu item “Project Communication”. These messages are directly linked to the offer.
If your project involves suppliers not previously saved as business contacts, you can communicate during the tender process via the menu item “Project Communication”. This functionality is meant to be used for clarifying issues with regard to the inquiry and offer and is therefore directly linked to a specific project.
